Information about travel grants

Q: What is a travel grant?

A: Travel grants are available to defray the cost of attending the Summer Institute. They provide reimbursement for lodging (see reimbursement rates below) on the nights before the workshops you attend. The SI will not reimburse for incidentals (room service, internet service, phone charges, in room movies, etc). Please allow 10 weeks for the reimbursement check to arrive.

 

Q: Who is eligible for a travel grant and what is the reimbursement rate?

A: Only teachers who live outside a 35 mile radius of the venue (Inn of the Hills, Kerrville, TX) are eligible for a travel grant.

Lodging:  To reduce costs, double occupancy is required. There is a discounted block of rooms at Inn of the Hills Hotel and Conference Center, available until June 23rd, 2017. We encourage you to book your room ASAP, as these spots fill up very quickly.  We also encourage you to identify a roommate from your school or community, and advise the hotel of your roommate when you make the room reservation. You are free to book a private room, but please be aware that the reimbursement will only be for a maximum of $23.75/night (plus 7% city tax).  

The SI will reimburse for double occupancy, for the amount indicated on the hotel receipt, up to a maximum of $23.75/person per night plus 7% city tax. 

Please be aware that the SI cannot reimburse state tax. Tax waiver forms are available at check in at the Summer Institute.
  
NOTE: The Early Bird registration period has passed. We have had overwhelming response and thank all for their interests. Please note that for Travel Grants Awarded on or after April 2, 2017, SI will only be able to fund 50% of the double occupancy award amount. Early Bird Registrants who where awarded prior to April 2, 2017 will be reimbursed at a maximum of $47.50 per night + 7% city tax ($50.83/night). Awards made after April 2, 2017 will be reimbursed at $23.75 per night + 7% city tax ($25.42/night). We appreciate your understanding as we stretch our limited travel funding to as many attendees as possible and look forward to seeing you at the Summer Institute.
 

Q:  How do I apply for a travel grant?

A: If you are eligible, you can apply for a Travel Grant during online registration, by choosing: "Registration WITH Travel Grant."  You will receive an email if your travel grant is approved.

Q: How do I get reimbursement?

A: To get reimbursement for lodging (for the amount on the receipt, up to $23.75 + 7% city tax per night, at the Inn of the Hills Hotel and Conference Center or any other hotel of your choosing), the attendee must:

  • Provide a hotel receipt with only his/her name on the top, and showing a zero balance. Hotel receipts, with only one guest name at the top, must be turned in at the SI Registration Desk at the end of the last day of attendance. We cannot reimburse state tax, so you will need to present a tax waiver form to the hotel before checking out, so that your invoice does not include state tax.  
  • Attend all the workshops for which he/she is registered (or alternates arranged at the Institute) and sign in on attendance sheets in the AM and PM.

  • Provide a signed W-9 form and transmittal form during conference check in.  

  • Provide a correct mailing address for routing of the reimbursement check when you register online.
